Privacy Policy
This policy explains what information Sun Mountain Lumber, Inc. ("we," "us," "our") collects from customers and visitors at our Livingston and Deer Lodge, Montana yards, how we use it, and what choices you have.
Information we collect
- Contact information — your name and mobile phone number. Your phone number is how we identify your account; we do not use driver's license numbers for identification.
- Transaction information — the product purchased, vehicle weights recorded on our scale, ticket numbers, dates and times, and the yard you visited.
- Photographs — our scale equipment photographs vehicles on the scale as part of creating a weight ticket. These images are a record of the transaction.
- Acknowledgments — a record of the yard rules and terms you agreed to, which version you saw, and when.
- Payment records — the amount, date, last four digits of the card, and a reference number from our payment processor.
What we do not collect or keep
We never store your card number. Card payments are handled entirely by our payment processor's card reader. Card numbers do not pass through our systems, and we receive only an approval, an amount, the last four digits, and a reference number.
We never store driver's license numbers. If age verification is required for a discount, your license is scanned only to compare your date of birth against the age threshold. We keep a yes-or-no result. The scanned data is discarded immediately and is not written to any file, log, or record.
How we use your information
- To create, price, and complete your weight ticket
- To take and record payment
- To answer requests you send us, including by text message
- To keep records required for our business and for tax and accounting purposes
- To operate our yards safely, including confirming that rules were acknowledged
Text messages
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Your consent to receive text messages from us is never shared with anyone.
If you opt in to text messages, we use your mobile number to send you information about
your own ticket and to answer requests you send us. We do not send marketing texts. You
can stop at any time by replying STOP.

When we share information
We do not sell your personal information. We share it only in these limited cases:
- Service providers who operate parts of our business on our behalf — for example our payment processor and our messaging provider. They may use the information only to provide that service to us.
- Legal requirements — when we are required to by law, subpoena, or a lawful request from a government authority, or to establish or defend a legal claim.
- Business transfer — if our business or a part of it is sold or merged, customer records may transfer as part of that transaction.
How long we keep it
We keep transaction records, including tickets, weights, photographs, and payment records, for as long as we need them for business, accounting, and tax purposes, and as long as applicable law requires. Contact information is kept while you remain a customer. If you opt out of text messages, we keep a record of that opt-out so that we do not message you again.
Security
We restrict access to customer records to the people and systems that need it, and our systems are configured so that each part has only the access it requires. No method of storage or transmission is completely secure, but we take reasonable measures to protect the information we hold.
Children
Our services are directed to adults doing business with us. We do not knowingly collect information from children under 13. If you believe we have, contact us and we will delete it.
Your choices
- Text messages — reply
STOPto any message, or contact us, and we will stop. - Access or correction — contact us to ask what we hold about you or to correct it.
- Deletion — contact us to request deletion. We may need to keep transaction and payment records where law or legitimate business needs require it.
Changes to this policy
We may update this policy. The effective date above will change when we do.
